Privacy Policy
Last updated: [DATE]
This policy explains how [COMPANY LEGAL NAME] (“Datascales”, “we”, “us”) collects, uses and protects personal information when you visit this website or contact us through it. It covers this website only. Datasets we handle for data partners or AI companies are covered by separate written agreements, not by this policy.
In short
- We only collect what you choose to send us through our enquiry and careers forms, plus basic technical data needed to run the site securely.
- We use it to reply to you and to assess whether we can work together. We do not sell it or use it for advertising.
- This website does not use analytics, advertising or tracking cookies.
- You can ask to see, correct or delete your information at any time, and you can complain to the ICO.
1. Who we are
The controller of personal information collected through this website is [COMPANY LEGAL NAME], [registered address, company number and ICO registration number, if applicable]. For any privacy question or request, email info@datascales.co.uk.
2. Information we collect
Information you give us. When you submit an enquiry form, we collect what you enter, which may include:
- your name, work email address, job role, company name and company website;
- details about your organisation, such as industry and approximate size;
- descriptions of the data you hold or the data you are looking for; and
- anything else you choose to write in a free-text field.
If you apply for a job or register interest through our careers form, we collect your name, email address, location, the role and area you are interested in, the link to your LinkedIn profile or CV, and what you tell us about yourself. If you progress, we may also hold interview notes and, with your agreement, references.
Our forms ask you not to include personal data about other people, employee communications, customer records or confidential material. Please do not send these through the website. If you do, we will delete material we do not need.
Information collected automatically. When you visit the site, our hosting provider processes technical information such as your IP address, browser type, the pages requested and the time of the request. This is needed to deliver pages and protect the site against abuse. When you submit a form, our enquiry service also uses your IP address briefly, in memory, to limit repeated submissions; it is not stored with your enquiry.
We do not collect special category data (such as health or political opinions) through this website, and we do not knowingly collect information from children.
3. How we use it and our lawful basis
UK data protection law requires a lawful basis for each use of personal information. Ours are:
| Purpose | Lawful basis |
|---|---|
| Reading and replying to your enquiry | Legitimate interests in responding to business enquiries [to be confirmed by counsel] |
| Assessing whether a partnership or dataset requirement is a fit | Legitimate interests in developing our business; or steps before entering a contract |
| Considering job applications and expressions of interest | Steps before entering an employment contract; and legitimate interests in recruiting [to be confirmed by counsel] |
| Keeping records of business correspondence | Legitimate interests; and legal obligations where records must be kept |
| Operating and securing the website | Legitimate interests in keeping the site available and protected from abuse |
Where we rely on legitimate interests, we have considered that the use is expected, limited to business contact details, and does not override your rights. We will not send you marketing emails unless you ask us to or the law allows it, and you can opt out at any time. We do not make decisions about you based solely on automated processing.
5. International transfers
Some of our providers may process information outside the UK. Where they do, we rely on [UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU-US Data Privacy Framework, as applicable] to make sure your information stays protected. Contact us for more detail.
6. How long we keep it
- Enquiries that do not lead to a business relationship: [e.g. 24 months from our last contact].
- Enquiries that lead to a partnership or licence: for the length of that relationship and [e.g. 6 years] afterwards, in line with contract and tax record-keeping.
- Job applications and expressions of interest that do not lead to a hire: [e.g. 12 months from our last contact], so we can contact you about future roles. You can ask us to delete them sooner. If you join us, your application becomes part of your employee record.
- Hosting server logs: as set by our hosting provider, typically [e.g. up to 30 days].
7. How we protect it
The website is served over encrypted connections (HTTPS), enquiries are validated and size-limited, and access to enquiries is restricted to the people who need it. No system is completely secure, but we take reasonable technical and organisational steps to protect your information and will notify you and the ICO of a breach where the law requires.
9. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to our use of it based on legitimate interests;
- object at any time to direct marketing; and
- ask for information you gave us to be transferred to you or another organisation.
To make a request, email info@datascales.co.uk. We will respond within one month, and there is usually no charge. We may need to confirm your identity first. Some rights have exceptions, and we will explain if one applies.
10. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We will post any changes on this page and update the date at the top. If a change materially affects how we use information you have already given us, we will tell you directly where we can.
